As a Supplier, you can now upload supporting documents directly to a Corrective Action Plan, instead of attaching the same file separately to every CAPA within it. This is available for every CAP, whether it uses Bulk or Progressive submission. You can upload up to five documents per CAP, in PDF, PNG, JPG, CSV, XLS, or XLSX format. The maximum supported file size is 15 MB per document. You can also add a note to explain a document's context and edit it while the CAP remains open.

You can upload, edit, or delete documents while a CAP is Pending, In Progress, or has a Revision Requested. Once closed, the Documents section becomes read-only. Deletions are recorded in history, including who removed the document and when. Uploading is optional and does not affect the CAP or CAPA process in any way.

As a Brand, Auditor, or Third-Party Remediation Group, you can view, download, and read the notes on any document a supplier has uploaded to a CAP, in every CAP status. You cannot upload, edit, or delete a supplier's documents.

Key Benefits for Suppliers

  • Upload Once, Apply to the Whole CAP: Attach a document that supports the entire Corrective Action Plan in one place, instead of repeating the same upload across every CAPA line.
  • Flexible While the CAP Is Open: Add context with a note and delete or replace a document at any point before the CAP closes.
  • No Impact on Your Workflow: Uploading a document does not affect submission, approval, or closure.

Key Benefits for Brands

  • A Single Place to Review Supporting Evidence: See every CAP-level document a supplier has uploaded, along with their notes, without needing to check each individual CAPA.
  • Traceable Document History: Even if a supplier deletes a document, the record of who deleted it and when remains visible to you.
  • Visible in Reporting: Document notes are included in the On Demand CAP report.

This update gives suppliers a single place to attach documentation that applies to an entire Corrective Action Plan, and gives brands, auditors, and third-party remediation groups a consistent way to review that evidence alongside every CAPA.
